Powerpoint - add audio annotations (PC)

This lesson describes the steps required to produce an audio annotated powerpoint file with high quality audio.

Getting started

Ensure that your presentation is in a folder of its own. If not, create a folder and copy the presentation into the folder. When we record audio we will be adding lots of sound files, so it helps to keep everything organised if the PPT is its own folder.

If you have not already done so plug your USB headset into your computer

Do these steps, then launch the PPT file.

In PPT go to the Slide Show menu and click "Record Narration"

Check the directory where the PPT file audio narrations will be recorded. This should be the folder you created in step 1. If not, click the browse button and navigate to the folder you created. Check the "Link narrations in" checkbox

Do these steps then click "Change quality"

IN the Sound Selection dialog choose 44.1 16bit Mono from the Attributes menu.

Do this then click "Save as" (1)

Name the format "CD Quality" and click OK.

Review the settings. Important - check the attribute reads 44.1 16bit

When everything is right, click OK.

Click Set Microphone level to adjust the microphone

Speak into the microphone - the slider will adjust to your voice or you can drag it manually.
Your voice level will appear in the bar (2). If nothing appears in 2 then your microphone is probably not working. Please see these instructions for configuring your microphone.

Your powerpoint presentation will appear in full screen mode. Record the presentation clicking the mouse to advance to the next stlide. Click Escape key after you have recorded a couple of slides so you can test everything is working fine. A dialog will confirm the recordings, click "Save"

Notice that slide timings now appear on the slides for which you have recorded audio

Notice in your folder (which you created for this presentation) there are now individual sound files for each slide you have recorded).

Notice the speaker icon on each slide you have recorded. Click this to preview your sound.

RE-recording a particular slide

If you want to re-record a particular slide, navigate to the slide, repeat the steps above for starting the recording process (you don't however need to review your audio settings and mic settings if you have already done so in this recording session, they will still apply, but do re-check if you have restarted PPT).

A dialog like the one above will appear, choose option to record current slide. If you only wish to record this slide, speak you audio then click escape key without advancing to the next slide. Only this slide will be re-recorded

Save your PPT to your Dropbox folder

Save your PPT file into the folder you are sharing with us (1) in Dropbox (2). and send us an email (support@oceanbrowser.com) to let us know you have completed your presentation. If you have not set up Dropbox yet, please see the tutorial on setting up Dropbox

Dropbox will take care of sending the file to us. Please also add any supporting files to the cDropBox folder, such as video clips, images, text, pdfs etc that you would like us to include with your presentation or which may assist the students.
